1. Introduction

Welcome to Saylance. This Privacy Policy explains how Nixes ("we," "us," or "our") collects, uses, shares, and protects information when you use the Saylance mobile application (the "App"). We are committed to protecting your privacy and being transparent about our data practices.

Saylance is a voice-driven business management application designed for freelancers, contractors, and gig economy workers. The App allows you to manage clients, projects, work entries, expenses, and invoices through voice commands and traditional interactions.

By using Saylance, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please do not use the App.

2. Information We Collect

2.1 Information You Provide

When you use Saylance, you directly provide the following business-related information:

  • Client Information: Names, contact details (email, phone, address, social media), client status (active, inactive, lead, lost), nicknames, communication preferences, notes, and custom attributes
  • Project Information: Project names, descriptions, status, dates (start, deadline, completion), budget estimates, hour estimates, and fixed-amount details
  • Work Entries: Work descriptions, dates, quantities, units of measurement (hours, square feet, pieces, linear feet), rates, fixed amounts, work types (billable, warranty, goodwill), categories, and notes
  • Expense Information: Amounts, vendors, descriptions, dates, business purposes, client billable amounts, and categories
  • Invoice Information: Invoice numbers, issue dates, due dates, payment terms, line items, discounts, currencies (USD, EUR, GBP, BGN, etc.), and payment tracking
  • Payment Information: Payment amounts, dates, methods, and notes (financial transaction information for tracking purposes only; we do not process credit card payments)
  • Voice Transcriptions: Text transcriptions of your voice commands (processed in real-time; audio recordings are not permanently stored)

2.2 Automatically Collected Information

We automatically collect certain information when you use the App:

  • Device Information: Device model, operating system version, app version, and platform type
  • Usage Analytics: App launches, screen views, feature usage, voice session metrics, tool execution data, error logs, and crash reports
  • LLM Request Metadata: Token counts, request duration, AI model used, and error information (content of requests is not stored)
  • Subscription Information: Free tier usage tracking, subscription status, transaction IDs, and purchase dates
  • User Preferences: Currency settings, voice preferences, assistant mode preferences, and tutorial progress

2.3 Information We Do NOT Collect

To protect your privacy, we explicitly do NOT collect:

  • Permanent voice recordings (audio is processed in real-time and immediately discarded)
  • Personal identification information beyond what you voluntarily enter
  • Access to your device contacts, photos, or camera
  • Location tracking or geolocation data
  • Social media account information
  • Biometric data

3. How We Use Your Information

We use the collected information for the following purposes:

  • Core Functionality: To provide voice-driven business management features, process voice commands, generate speech responses, and enable business data tracking
  • Data Synchronization: To sync your business data across your devices using Apple CloudKit (your private iCloud account)
  • Voice Processing: To convert voice input to text via Apple Speech Recognition and process commands through Large Language Models (LLMs) via OpenRouter
  • Speech Synthesis: To convert text responses to speech using OpenAI Text-to-Speech API
  • Product Improvement: To analyze app usage patterns, identify bugs and crashes, optimize performance, and improve features
  • Analytics: To track feature adoption, user engagement, and product metrics via Mixpanel
  • Subscription Management: To process subscriptions, verify purchases, track free tier usage, and manage billing via Apple StoreKit
  • Customer Support: To respond to your inquiries, troubleshoot issues, and provide assistance
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes

4. Third-Party Services and Data Sharing

Saylance integrates with the following third-party services to provide core functionality. Your data may be shared with these services as described below:

4.1 OpenRouter (LLM Processing)

  • Purpose: Natural language processing, voice command interpretation, and AI-powered business assistant features
  • Data Shared: Voice transcriptions, business context (clients, projects, work entries, etc.), and conversation history
  • Current Models: Google Gemini 2.5 Flash (configurable)
  • Privacy Note: Voice transcriptions are sent to OpenRouter's API for processing but are not permanently stored by us. Please refer to OpenRouter's Privacy Policy for their data handling practices

4.2 Apple Speech Recognition

  • Purpose: Converting voice audio to text for voice command processing
  • Data Shared: Voice audio recordings (in real-time)
  • Privacy Options: You can enable on-device speech recognition for enhanced privacy (when available for your language and device)
  • Privacy Note: Please refer to Apple's Privacy Policy for their data handling practices

4.3 OpenAI Text-to-Speech

  • Purpose: Converting text responses to speech audio for voice output
  • Data Shared: Text content of AI-generated responses
  • Privacy Note: Please refer to OpenAI's Privacy Policy for their data handling practices

4.4 Mixpanel (Analytics)

  • Purpose: Product analytics, user behavior tracking, and performance monitoring
  • Data Shared: App usage events, device information, subscription status, feature usage metrics, and error logs
  • Anonymization: Analytics data is associated with anonymous identifiers, not personal information
  • Privacy Note: Please refer to Mixpanel's Privacy Policy for their data handling practices

4.5 Apple CloudKit (Data Sync)

  • Purpose: Syncing business data across your Apple devices (iPhone, iPad, Vision Pro)
  • Data Shared: All business models (clients, projects, work entries, expenses, invoices, payments)
  • Privacy: Data is stored in YOUR private iCloud account, not on our servers. You control this data through your iCloud settings
  • Encryption: CloudKit uses Apple's standard encryption protocols
  • Opt-Out: You can disable CloudKit sync in the App settings (data will remain local only)

4.6 Apple StoreKit (In-App Purchases)

  • Purpose: Processing subscriptions, managing free tier usage, and handling payments
  • Data Shared: Transaction IDs, purchase dates, subscription status, and payment information
  • Privacy Note: All payment processing is handled by Apple. We do not have access to your credit card information

4.7 No Other Third Parties

We do NOT share your data with:

  • Advertising networks or data brokers
  • Social media platforms (unless you explicitly share content)
  • Marketing or email service providers
  • Any other third parties not listed above

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

5. Data Storage and Retention

5.1 Local Storage

Your business data is primarily stored locally on your device using SwiftData (Apple's data persistence framework). This includes all clients, projects, work entries, expenses, invoices, and related information.

5.2 Cloud Storage (Optional)

If you enable CloudKit sync, your business data is also stored in your private iCloud account. This allows you to access your data across all your Apple devices. You can disable sync at any time in the App settings.

5.3 No Server-Side Storage

We do NOT store your business data on our own servers. All data remains in your control—either on your device or in your personal iCloud account.

5.4 Data Retention

  • Business Data: Retained indefinitely until you manually delete it through the App or uninstall the App
  • Voice Recordings: Processed in real-time and immediately discarded (not stored)
  • Analytics Data: Retained by Mixpanel according to their retention policies (typically 5 years)
  • Backups: If you enable automatic backups, data is exported periodically according to your settings (daily, weekly, monthly, or never)

6. Data Security

We implement reasonable security measures to protect your information:

  • Encryption: Apple CloudKit uses industry-standard encryption for data in transit and at rest
  • On-Device Processing: Option to use on-device speech recognition (no data leaves your device)
  • Secure Transactions: StoreKit transaction verification to prevent fraud
  • Parameter Validation: All LLM tool calls are validated to prevent injection attacks
  • Access Controls: Your data is protected by your device's security features (Face ID, Touch ID, passcode)

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Your Privacy Rights

7.1 Access and Control

You have the following rights regarding your data:

  • Access: View all your business data within the App at any time
  • Export: Export your data via PDF or data export features
  • Delete: Manually delete individual records or clear all data through the App settings
  • Modify: Edit any business information you've entered
  • Disable Sync: Turn off CloudKit synchronization in App settings
  • Disable Analytics: Contact us to opt out of analytics tracking

7.2 GDPR Rights (European Users)

If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation (GDPR):

  • Right to access your personal data
  • Right to rectification (correction) of inaccurate data
  • Right to erasure ("right to be forgotten")
  • Right to restrict processing
  • Right to data portability
  • Right to object to processing
  • Right to withdraw consent at any time

7.3 CCPA Rights (California Users)

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information is collected, used, shared, or sold
  • Right to delete personal information
  • Right to opt-out of the sale of personal information (Note: We do NOT sell personal information)
  • Right to non-discrimination for exercising your CCPA rights

7.4 Exercising Your Rights

To exercise any of these rights, please contact us at hi@saylance.com. We will respond to your request within 30 days.

8. Children's Privacy

Saylance is not intended for use by children under the age of 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at hi@saylance.com, and we will take steps to delete such information.

9. International Data Transfers

Saylance is developed and operated from Bulgaria. Your information may be transferred to, stored, and processed in countries other than your own, including the United States (where OpenRouter, OpenAI, and Mixpanel operate).

By using the App, you consent to the transfer of your information to countries outside your country of residence, which may have different data protection laws. We take steps to ensure your information is treated securely and in accordance with this Privacy Policy.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will:

  • Update the "Last Updated" date at the top of this policy
  • Notify you through the App or via email (if applicable)
  • Obtain your consent if required by law

We encourage you to review this Privacy Policy periodically. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.

By using Saylance, you signify your acceptance of this Privacy Policy. If you do not agree to this policy, please do not use the App. Your continued use of the App following the posting of changes to this policy will be deemed your acceptance of those changes.
